This Privacy Policy describes how Vetsaris LLC (operating as Vetmodo) collects, uses, shares, and protects your personal information when you use our website and services at vetmodo.com.

1. Overview and Scope

Vetmodo (“we,” “us,” “our”) is owned and operated by Vetsaris LLC, a California limited liability company. This Privacy Policy applies to all users of the Vetmodo website and Service, including pet owners searching for veterinary care, clinic owners and their staff who claim and manage listings, and any other visitors to vetmodo.com.

This Policy is incorporated by reference into and forms part of our Terms of Service. By using the Service, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with this Policy, please do not use the Service.

We are committed to complying with applicable privacy laws, including the California Consumer Privacy Act of 2018 as amended by the California Privacy Rights Act of 2020 (collectively, “CCPA/CPRA”), and regulations adopted by the California Privacy Protection Agency (“CPPA”), including those effective January 1, 2026.

2. Information We Collect

We collect the following categories of personal information:

2.1 Account Information

When you create an account, our authentication provider Clerk collects and processes your email address, name, and (if you choose) a profile image. We receive a unique user identifier and basic profile data from Clerk. We store your user identifier and account preferences in our own systems.

2.2 Clinic Listing Data

If you claim or manage a clinic listing, we store the listing information you provide, including clinic name, address, phone number, website, hours of operation, services offered, photos, and similar business details. We also maintain a record of which account owns or manages each listing.

2.3 Payment Information

Paid subscriptions are processed by Stripe, Inc. We do not store your payment card number, CVV, or bank account details on our servers. Stripe transmits to us a customer ID, subscription status, and subscription metadata necessary to manage your plan. All payment card data is handled entirely by Stripe and subject to Stripe’s own privacy policy and PCI DSS compliance standards.

2.4 Search and Usage Data

When you search the directory, we may temporarily process the ZIP code or location you provide in order to return nearby clinic results. We use third-party geocoding services to convert ZIP codes and addresses into geographic coordinates. This location data is processed transiently and is not retained in a form linked to your identity beyond the duration of your search session.

2.5 Photos and Uploads

Photos you upload to your clinic listing are stored in Amazon Web Services Simple Storage Service (AWS S3) and served via a public URL. By uploading photos, you consent to their public display as part of your clinic listing.

2.6 Technical and Log Data

We automatically collect standard technical information when you access the Service, including your IP address, browser type and version, operating system, pages visited, referring URL, and timestamps. This data is used for security monitoring, debugging, performance optimization, and aggregate analytics. We do not use this data to build individual behavioral profiles for advertising purposes.

2.7 Communications

If you contact us via email or through any contact form on the Service, we retain your communications and any information you provide in order to respond to your inquiry and for quality assurance purposes.

2.8 Categories of Personal Information Under CCPA/CPRA

In the preceding 12 months, we have collected the following categories of personal information as defined by the CCPA/CPRA:

  • Identifiers: Name, email address, IP address, unique user identifiers
  • Commercial information: Subscription records, transaction history, payment metadata
  • Internet and network activity information: Browsing history on our Service, search queries, page interactions
  • Geolocation data: General location data derived from ZIP code or IP address (not precise geolocation)
  • Professional or employment-related information: Clinic ownership and employment relationship, for clinic-claiming users
  • Inferences: General usage patterns derived from interaction with the Service

We do not collect sensitive personal information as defined by the CPRA (such as Social Security numbers, financial account credentials, precise geolocation, racial or ethnic origin, religious beliefs, biometric data, or health information).

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To operate, maintain, and improve the Service, including displaying clinic listings to pet owners searching for veterinary care
  • To authenticate users, manage accounts, and protect account security
  • To process payments, manage subscriptions, and fulfill billing obligations through Stripe
  • To communicate with you regarding your account, subscription, listing status, or material changes to the Service or this Policy
  • To respond to your inquiries and provide customer support
  • To detect, investigate, and prevent fraudulent, abusive, or illegal activity and to enforce our Terms of Service
  • To comply with applicable legal obligations, including responding to lawful requests from government authorities
  • To analyze aggregate, de-identified usage trends for service improvement

We do not use your personal information for targeted behavioral advertising, and we do not sell your personal information to third parties.

4. Third-Party Services and Data Sharing

4.1 Service Providers

We share personal information with the following third-party service providers strictly as necessary to operate the Service. Each provider is bound by contractual data processing obligations consistent with applicable law:

4.2 Publicly Displayed Information

Clinic listing data you submit — including clinic name, address, phone number, hours, services, and photos — is displayed publicly on the Service as the core function of the directory. By submitting this information, you consent to its public display.

4.3 Legal Requirements and Protection of Rights

We may disclose your information when required by law, subpoena, court order, or other legal process, or when we believe in good faith that disclosure is necessary to protect the rights, property, or safety of Vetsaris LLC, our users, or the public.

4.4 Business Transfers

In connection with a merger, acquisition, reorganization, or sale of assets, your personal information may be transferred to the acquiring entity. We will provide notice to affected users as required by applicable law, and the acquiring entity will be required to honor the commitments made in this Privacy Policy or provide you with a new privacy policy.

4.5 No Sale of Personal Information

We do not sell your personal information to third parties, and we do not share your personal information for cross-context behavioral advertising purposes. We will not sell or share your personal information without your prior explicit consent.

5. Cookies and Tracking Technologies

We use cookies and similar tracking technologies for the following purposes:

  • Authentication cookies: Set by Clerk to maintain your signed-in session across page loads. These are strictly necessary for the Service to function.
  • Payment session cookies: Set by Stripe during the subscription and payment flow. These are strictly necessary for payment processing.
  • Security and fraud prevention: Used by Cloudflare and our own systems to identify and block malicious traffic.
  • Analytics: We may use privacy-respecting analytics tools to understand aggregate usage patterns. We do not use third-party advertising networks or behavioral tracking cookies.

We do not currently use third-party advertising cookies or engage in cross-site behavioral tracking. If this changes, we will update this Policy and provide appropriate notice and consent mechanisms before any such tracking begins.

You may manage cookie preferences through your browser settings. Note that disabling certain cookies (particularly authentication cookies) may prevent you from using core features of the Service.

6. Data Retention

We retain personal information only for as long as necessary to fulfill the purposes described in this Policy, unless a longer retention period is required or permitted by law. The following retention periods apply to major categories of data:

  • Account information: Retained for the duration of your account. If you delete your account, we will delete or anonymize personally identifying data within 90 days, except as required for legal, accounting, fraud prevention, or dispute resolution purposes.
  • Clinic listing data: Retained for the duration of your active listing. Listings initially sourced from public data sources may remain in the directory after an owner deletes their account, as this data is publicly available information. Owner-submitted edits will be removed or anonymized upon account deletion.
  • Payment and transaction records: Retained for a minimum of 7 years in accordance with financial recordkeeping requirements under applicable law.
  • Technical and log data: Retained for up to 12 months for security and debugging purposes, after which it is deleted or anonymized.
  • Communications: Retained for up to 3 years from the date of your last communication with us, unless a longer period is required by law.

Upon expiration of the applicable retention period, we will securely delete or anonymize your personal information. In accordance with the CPRA, if you request access to your personal information, we will provide information collected from January 1, 2022 onward, and will provide a mechanism for you to specify a date range for your request.

7. California Privacy Rights (CCPA/CPRA)

This section applies to California residents and describes your rights under the California Consumer Privacy Act of 2018, as amended by the California Privacy Rights Act of 2020 (collectively, the “CCPA/CPRA”), and implementing regulations adopted by the California Privacy Protection Agency, including regulations effective January 1, 2026.

7.1 Right to Know

You have the right to request that we disclose: (a) the categories of personal information we have collected about you; (b) the categories of sources from which it was collected; (c) our business purpose for collecting it; (d) the categories of third parties with whom we share it; and (e) the specific pieces of personal information we have collected about you.

You may request personal information collected from January 1, 2022 onward. We will provide a mechanism for you to specify whether you wish to receive information from the standard 12-month period or a longer period dating back to January 1, 2022.

7.2 Right to Delete

You have the right to request that we delete personal information we have collected from you, subject to certain exceptions permitted by law (such as information needed to complete a transaction, detect security incidents, comply with legal obligations, or exercise free speech). When we fulfill a deletion request, we will also notify all third parties to whom we have sold or shared your personal information of the deletion request, as required by the CPRA.

7.3 Right to Correct

You have the right to request that we correct inaccurate personal information we maintain about you. We will use commercially reasonable efforts to correct your information upon verification of your identity and the accuracy of the correction requested.

7.4 Right to Opt Out

We do not sell your personal information and do not share it for cross-context behavioral advertising. Therefore, there is currently no sale or sharing to opt out of. If our practices change, we will update this Policy and provide a “Do Not Sell or Share My Personal Information” link on our homepage as required by law.

7.5 Right to Limit Use of Sensitive Personal Information

We do not collect sensitive personal information as defined by the CPRA. If this changes, we will provide a “Limit the Use of My Sensitive Personal Information” link and obtain the appropriate consent before collecting such information.

7.6 Right to Data Portability

You have the right to receive a copy of the personal information you have provided to us in a portable, readily usable format that allows you to transmit the information to another entity.

7.7 Right to Non-Discrimination

We will not discriminate against you for exercising any of your CCPA/CPRA rights. We will not deny you goods or services, charge you different prices, or provide you a different level of quality of service as a result of exercising your privacy rights.

7.8 Automated Decision-Making

Vetmodo does not currently use automated decision-making technology (ADMT) to make significant decisions about California consumers as defined by the 2025 CPPA regulations effective January 1, 2026, such as decisions affecting employment, financial access, housing, or similar high-stakes determinations. If we implement ADMT for such purposes in the future, we will update this Policy, conduct the required risk assessments, and provide consumers with opt-out rights as required by law.

7.9 How to Submit a Privacy Request

To exercise any of the rights described above, please contact us by:

We will acknowledge your request within 10 business days and respond within 45 calendar days. If we require additional time, we will notify you of the extension (up to an additional 45 days) and the reason for the delay. We may request information to verify your identity before processing your request. We will not require you to create an account solely for the purpose of submitting a privacy request.

You may designate an authorized agent to submit requests on your behalf. If you use an authorized agent, we may require written permission from you and may contact you directly to verify the request.

7.10 Financial Incentives

We do not offer any financial incentives or price differences in exchange for the collection, retention, or sale of personal information.

8. Children’s Privacy

Vetmodo is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe that a child under 13 has provided us with personal information, please contact us immediately at hello@vetmodo.com and we will promptly delete that information. If we become aware that a user is under 13, we will terminate their account.

9. Security

We implement commercially reasonable technical and organizational security measures to protect your personal information against unauthorized access, disclosure, alteration, and destruction. These measures include encryption of data in transit (HTTPS/TLS), access controls, authentication requirements, and monitoring for security incidents.

In accordance with the CPRA’s requirement that businesses implement reasonable security procedures and practices appropriate to the nature of the personal information collected (Cal. Civ. Code § 1798.100(e)), we regularly review and update our security practices.

No internet transmission or electronic storage system is completely secure. We cannot guarantee the absolute security of your personal information. In the event of a data security incident that affects your personal information, we will notify you as required by California law (Cal. Civ. Code § 1798.82) and other applicable breach notification laws.

10. International Users and Data Transfers

Vetmodo is operated from the United States. If you access the Service from outside the United States, your personal information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your country of residence. By using the Service, you consent to the transfer of your information to the United States. We take steps to ensure that personal information transferred internationally is handled in accordance with this Privacy Policy.

11. Your Communication Preferences

We may send you transactional communications related to your account, subscription, or listing (such as billing confirmations, password resets, and service notices). These communications are necessary for the operation of the Service and cannot be opted out of while your account remains active.

We may also send you promotional communications about new features or services. You may opt out of promotional communications at any time by clicking the unsubscribe link in any email or by contacting us at hello@vetmodo.com.

12. Do Not Track

Some browsers transmit “Do Not Track” signals to websites. Because there is no common industry standard for how to respond to these signals, Vetmodo does not currently alter its data collection practices in response to Do Not Track signals. We will update this Policy if a standard emerges and we adopt a response protocol.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make changes, we will update the “Last updated” date at the top of this page. For material changes, we will provide at least 14 days’ advance notice via email to registered users or a prominent notice on the Service. Your continued use of the Service after the effective date of a material change constitutes your acceptance of the updated Policy.
